We built a WhatsApp-based AI inventory assistant that gives sales reps real-time access to product availability, codes, and quantities using natural language.

The Problem
The Fish Company’s sales team operated in a fast-paced, inventory-sensitive environment. Sales representatives frequently placed orders while speaking directly with clients, but accurate inventory information was only accessible through internal computers connected via VPN.
This led to recurring operational issues:
- Sales reps entering incorrect product codes into the system
- Orders placed for items that were no longer available
- Downstream accounting errors, inventory mismatches, and order rework
- Lost time switching between client conversations and internal systems
The core issue wasn’t human error, but lack of real-time access to inventory data at the point of sale.
The Solution
EarlyShift designed and deployed an AI-powered inventory assistant accessible directly through WhatsApp, allowing sales representatives to query live inventory using natural language, in real time, while speaking with clients.
Instead of memorizing product codes or relying on outdated spreadsheets, sales reps could simply ask questions like:
“What Chilean salmon do we have in stock today?”
“How many boxes and pounds are available for product X?”
The system instantly returned accurate product codes, availability, and quantities based on the most recent inventory upload.
How It Works
The solution was built using a combination of NLQ (Natural Language Querying), RAG (Retrieval-Augmented Generation), and specialized AI agents, orchestrated to work seamlessly behind a familiar interface.
